Summary of the Department:                                                    

Clean’s Energy team offers a range of programs that help homeowners to achieve savings in fuel costs and GHG emissions while improving the comfort and resilience of their homes. Each program is designed to serve a specific demographic and may offer free home energy upgrades, deep retrofit consulting services, municipal PACE financing, innovative incentives, and/or other services. The Technical Team develops and maintains the systems, processes, and methodologies that are used by the Energy team’s field team of energy advisors, and coordinates energy retrofit work across our Trade Partner Network.

Summary of the Position:

Reporting to the Lead – External Operations, the Retrofit Coordinator is focused on organizing the how we pursue upgrades to our buildings. The role helps to bridge the gap between Clean and the contractors behind our Trade Partner Network.

Required duties are varied and include the review and revision of proposed work plans, dispatch of work orders to contractors, approval of invoices and building rapport with Clean’s Trade Partner Network. Role-specific training will be provided. Opportunities for professional growth will be provided per the candidate’s aptitudes and interests.

Our Ideal Candidate:

You have comprehensive experience in cost estimation and delivery of building energy retrofits such as insulation, heating systems, hot water systems, etc. You have a knack for problem-solving and good working knowledge of building science and the ‘house-as-a-system’ concept. You naturally maintain strong relationships and you are comfortable building a diverse professional network.

Duties and Responsibilities:

General

  • Support approvals and revisions of energy efficiency upgrade plans put forth by Clean’s field team of energy advisors.
  • Support the deployment of new upgrade methods and standards.
  • Support development for new energy-related programs.
  • Support site visits for safety compliance and quality assurance.

Contractor Relations

  • Support the recruitment, onboarding and orientation of new contractors.
  • Support the negotiation of subcontractor contracts and prices.
  • Support relationship management with contractors.
  • Support process development to monitor and report contractor performance.
  • Support implementation of disciplinary measures as outlined in the Guidelines.

Retrofit Coordination

  • Support monitoring of delays and holds on outstanding work orders.
  • Support the review and approval of contractor invoices.
  • Support the distribution of work orders to Clean’s Trade Partner Network.
  • Support reviews of proposed project estimates for completeness and feasibility.
  • Support revisions of proposed projects in collaboration with Clean’s field team.
  • Support quote approvals for select contractor work.
  • Support the approval of contractor change orders.
  • Support price negotiations with contractors for non-standard line items.
  • Support the resolution of QA, warranty and customer service issues.

Required Qualifications:

  • Strong critical thinking skills and attention to detail.
  • Strong communication skills with the ability to collect, organize, analyse and share significant amounts of information with diverse project partners.
  • Ability to work independently with minimal supervision.
  • Ability to work productively as part of a team.
  • Good working knowledge of Microsoft Excel, Word and Outlook.

Additional Assets:

  • Knowledge of residential construction, renovation and retrofits.
  • Experience working with contractors and tradespersons.
  • Certifications related to the trades or energy efficiency.
  • Previous experience in the non-profit sector.
  • Valid driver’s license.
  • First Aid/CPR and WHMIS.

Working Conditions:

  • Thirty-five-hour work week.
  • Work from home 80 per cent and office 20 per cent.
  • Occasional travel may be required, e.g., site visits and safety inspections.

Physical Requirements:

  • The Retrofit Coordinator will be required to work on a computer for long periods of time. A standing desk and ergonomic relief will be provided as needed.
  • Site inspections and evaluations may require:
  • Driving to the work site;
  • Working at heights or in tight spaces as needed;
  • Climbing up and down ladders;
  • Reaching and working above the head;
  • Use of basic hand tools; and
  • Use of PPE and safe work practices.
